NDIS Renewal Audit Preparation
As your NDIS registration nears renewal, it is essential to reaffirm your compliance with all relevant standards. Your registration is valid for three years — before it expires, you must apply to renew and complete a new audit, a re-certification or re-verification audit depending on your registration type. Miss the deadline, and your registration expires. Without registration, you cannot claim NDIA payments for the supports you deliver.
VCCG’s renewal audit service is built around three things: a full-scope compliance review, documentation preparation, and strategic audit support — designed to help you get through this process confidently, from the moment the Commission sends its six-month expiry reminder through to a finalised audit report.
What Is an NDIS Renewal Audit?
An NDIS renewal audit is the audit you must complete to extend your registration beyond its three-year expiry date. Depending on your original registration pathway, this is either a re-certification audit (for providers originally certified) or a re-verification audit (for providers originally verified).
The NDIS Commission sends a reminder approximately six months before your registration expires, with instructions for completing your renewal application through the Provider Portal. Once your application is submitted, you receive an initial scope of audit document, which is used to quote and schedule your renewal audit with an approved auditing body.
Your registration remains active while the Commission processes your renewal application, provided you have submitted it and completed your audit before the expiry date.
Re-Certification vs Re-Verification: What's the Difference?
Re-certification audit — Applies to providers originally certified. It occurs in two stages: a stage 1 desktop document review completed remotely, followed by a stage 2 on-site visit to assess how your services are actually being delivered. The audit assesses your documented systems, includes interviews with staff and participants, and reviews files to confirm services are implemented as described.
Re-verification audit — Applies to providers originally verified. It assesses your continued compliance with the Verification Module of the NDIS Practice Standards and is completed entirely as a remote desktop document review, with no on-site component.
Both audit types assess the same fundamental question: are you continuing to meet the NDIS Practice Standards and Quality Indicators relevant to your registration scope, and how do you intend to maintain and improve that standard going forward.
Full-Scope Compliance Review
We thoroughly review your entire operation, ensuring that all aspects of your business meet current NDIS standards. This includes reviewing your policies, procedures, and service delivery models to identify any areas that require updating before your auditor does it for you.
A renewal audit is also the point in your registration cycle where you can change your scope of services. When completing your renewal application, you can add or remove registration groups, and you should review and update any changed details — key personnel, head office address, or outlet locations. VCCG reviews your scope alongside your compliance position, so your renewed registration reflects where your business is heading, not just where it has been.
Documentation Preparation
Preparing for a renewal audit can be overwhelming. Our team assists you in organising and compiling all necessary documentation, ensuring that nothing is overlooked and that your submission is complete and accurate — for both the desktop review stage and, where applicable, the on-site visit.
Early planning from the six-month mark
We recommend starting renewal preparation as soon as the Commission’s reminder notice arrives, giving enough time to address gaps properly rather than rushing before the expiry date.
Registration scope advice
If you are considering adding or removing registration groups at renewal, we advise on what that means for your audit type, cost, and timeline.
Documentation and evidence preparation
We organise the files, records, and evidence your auditor will need for both the desktop review stage and, where applicable, the on-site visit.
Staff and participant interview readiness
Re-certification audits include interviews with staff and participants. We brief your team so their answers reflect what your documentation says and what your service actually delivers.
Application support
We assist with completing the renewal application in the Provider Portal accurately and on time, reducing the risk of delays caused by incomplete or inconsistent information.
Strategic Audit Support
Beyond compliance, VCCG provides strategic advice to help you enhance your operations and service offerings. The aim is to ensure your business not only passes the renewal audit but emerges from the process with stronger systems and a clearer view of where your service is headed next.
This is also why renewal is more than a compliance check. Providers who treat it purely as a hurdle to clear miss the chance to reset their scope, sharpen their documentation, and walk away from the audit with genuinely better operations — not just a renewed certificate.
When to Start Your Renewal Audit Preparation
Begin preparation as soon as you receive the Commission’s six-month reminder — earlier if possible. Re-certification audits in particular involve two stages and on-site coordination, which take longer to schedule than a single desktop review. Providers who wait until two or three months before expiry often find themselves constrained by auditor availability as much as by their own readiness.
If you are concerned you will not complete your audit before your expiry date, contact your auditing body or a consultant immediately — options exist to manage this risk, but only if raised early.
